Hostaway Messaging Automation Guide

This guide outlines the process of setting up automation in Hostaway using the Authenticate custom fields and conditions.

The guest’s verification result is stored in the Authenticate custom fields. You can use these custom fields to automatically send messages to guests based on specific conditions.

These custom fields can be used for the following purposes.

  • Automatically send Identity Verification and Background Check requests to guest(s)
  • Detect and resolve workflow errors
  • Flag risky guests
  • Send custom notifications (check-in to guests)

Where to find the Authenticate custom fields

Step 1: Go to your Hostaway dashboard.

Authenticate Custom Fields

Authenticate stores verification results in the following Hostaway custom fields.

Authenticate verification url Get the Authenticate’s Identity verification link
Yes/No Indicates any error during verification
Guest profile url Get the guest’s profile created on Authenticate’s portal
Yes/No Indicates if selfie matches ID
Yes/No Indicates global watchlist match
Yes/No Indicates if the ID document is valid
Yes/No Indicates if liveness detection passed
Yes/No Indicates authoritative database verification
Yes/No Indicates seven year criminal record detection
(DEPRECATED) Yes/No Indicates whether identity verification was successful
(DEPRECATED) Yes/No Indicates the status of the document uploaded for verification
(DEPRECATED) Yes/No Indicates if seven year criminal record is found for the user (applicable only for US users)

How to Automate messages using custom fields?

What does this mean?

⇒ When you want to send the email/SMS based on a particular condition being met without manually monitoring and sending, guests will be notified when those conditions are met.

For example, when identity verification fails for the XYZ listing, it will trigger the automated message to notify the guests.

Step 1: Select Automations under the Inbox menu, where you can view all your automations.image (53)

⇒ Admins can choose from existing templates or create a new one

⇒ Admins can find the custom fields by clicking { } next to the Subject and the Default message fields, as seen in the attached images above.

There will be two options: standard fields and custom fields.

  • Standard fields - they contain information like guest name, booking date, address, etc.
  • Custom fields - provided by Authenticate that contain guest verification results
